RESPONSIBILITIES:

The Workshop Supervisor is responsible for efficiently and effectively managing the Company ABC workshop.

In order to carry out these responsibilities, the Workshop Supervisor must deliver a high quality after sales service that includes information dissemination, training, repairs and installation.

ORGANIZATION STRUCTURE:

The Workshop Supervisor reports to the Head of TSD and receives electronic, written and verbal instructions.

There are no subordinates reporting to this position.

The Workshop Supervisor provides direction and guidance to the following positions:

  • Head of PU: Provides technical guidance on how to use and maintain equipment purchased from TSD.
  • Production Technicians: Provides technical guidance on how to use and maintain equipment purchased from TSD.

There are other positions throughout Company ABC that provide direction or guidance to the Workshop Supervisor:

  • Sales Technician: Provides the Workshop Supervisor with technical guidance on how to repair and maintain eye equipment.

NATURE OF WORK AND JOB SCALE:

Freedom to Act:

This work of this position originates from the following departments:

  • Technical Service Department
  • Pharmaceutical Main Store (PMS)
  • Administration
  • Finance and Accounts
  • Procurement

Completed work (10% of competed work) is sent to the Head of the Department and is reviewed and approved by the incumbent (90% of the work) and the Head of the Department.

    • Manuals on equipment maintenance

Challenges:


The position encounters frequent problems related to:

  • Lack of spare parts especially those that are not readily available on the local market
  • Long diagnosis periods
  • Lack of motivation from the Head of department

The most difficult problems this position encounters include:

  • Lack of spare parts especially those that are not readily available on the local market
  • Lack of technical manuals for equipment
  • Lack of training to maintain specific equipment

This position has access to a supervisor in order to resolve the following problem(s):

  • Training opportunities on how to maintain and repair the purchased equipment

This position has access to other employees in order to resolve the following problem(s):

  • Deputy General Manager - Problems related to training and salary reviews

  • Production Pharmacist, Production Technicians: to provide technical guidance on how to use and maintain equipment purchased from TSD, on a weekly basis
  • Angal Hospital, Administrator: to install and commission equipment worth shs 20 million
  • Virika Hospital, Medical Superintendent: to install and commission equipment worth shs 25 million
  • Hareaus (operating theatre lights suppliers), Sales Officer: to inquire for spare parts and technical support, every 2 months
  • Hettich (Centrifugal suppliers), Sales Personnel: to inquire for spare parts and technical, every 4 months
  • Sunrise medical (Oxygen concentrates suppliers), Sales Personnel: to inquire for spare parts and technical support, every 2 months
  • ASL (Fridge and Air condition repair company), Workshop Supervisor: to obtain repairs of fridge and air conditions, 2-3 times a year
  • Electrical Reliable (Electrical repair company), Workshop Supervisor: to obtain repairs and rewinding of electrical motors, 2-3 times a year
  • Lwanga Electronics and Electrical (Repair company), Workshop Supervisor: to obtain sub contracting of transformer rewinding, 2-3 times a year

SPECIFIC RESPONSIBILITIES:


  • Ensures the TSD workshop is managed effectively and efficiently:
    • Plans daily activities of the workshop
    • Receives and recording all incoming and out going jobs
    • Conducts professional repairs
    • Installs and commissions sold equipment
    • Stores and monitors the workshop tools
    • Updates clients of the status of their repair jobs through written reports or by telephone
  • Provides advisory services to The TSD customers:
    • Disseminates information regarding preventive maintenance
  • Provides training services to The TSD customers:
    • Establishes the training needs of customers
    • Conducts training sessions
    • Provide reports to the following individuals, departments and/or external contacts on the following basis: Workshop Job Analysis Report to Head of Department to indicate the inflow of maintenance and repairs jobs, on a monthly basis

WORKING CONDITIONS:


The position requires the incumbent to lift heavy equipment (10kg – 30kg) during the dispatching and receiving of medical equipment on a daily basis for a total of 30-120 minutes each day.
 
Poor ventilation of the storage room attic exposes the incumbent to temperatures reaching as high as 35 degrees centigrade for 2 days every 6 months.

Daily mental stress is caused by a prolonged diagnosis process.

QUALIFICATIONS:

Relevant bachelor degree or equivalent plus experience. Internal promotion from scale 4a.
